With this statement, we would like to inform you about which personal data we collect in relation to your visit on our website and for what purposes it will be used.

Due to the further development of our offer or due to changed legal or official requirements, it may be necessary to change this privacy policy. We therefore ask you to read this privacy policy whenever possible on every visit to the website.

  1. Personal Data

    Personal data is data that include individual details of the personal or factual situations of an identified or identifiable person. Anonymised or statistical data unable to create a reference to your identity, or only do so with disproportionate effort, is not personal data.

    In principle, you can browse our website without revealing your identity. Nevertheless, personal data described in detail below is collected when visiting our website.

  2. Processing the Grant Applications and Award Registrations

    a) Before you and your organisation can apply for a grant and participation in the award your organisation must register and have its status as a charitable not-for-profit organisation validated. This validation will be performed by the TechSoup Europe network partner in the applicant organization's country (A list of all other TechSoup Europe partners can be found at: http://www.techsoupeurope.org/where-we-work/). After the validation this validating partner will transfer the organization's information which it has provided during the validation process as well as the validation result to us for further handling.

    All data collected here will be processed for the sole purpose of providing you access to the granting process and enabling participation in the award.

    b) If you and your organization register (as described in subsection a above) and/or apply for a grant and participation in the award, we collect and process various data as part of the application process. We collect primarily information about your organisation, but partially also personal data (name, email, position in the organisation and the phone number of the contact person).

    In addition, your personal data will not be transmitted to third parties unless we are legally obliged to disclose them in individual cases (Article 6 (1) sentence 1 letter c) of the EU GDPR) or it is necessary to assert, exercise or defend legal claims and there is no reason to assume that you have a predominantly legitimate interest in the non-disclosure of your data (Article 6 (1) sentence 1 (f) DS-BER).

    c) Except for Germany, Austria and Switzerland, the country partners of the TechSoup Europe network are responsible for granting event funding. Therefore, if your organization is based outside of Germany, Austria and Switzerland we will transfer your personal data to the respective country partner of the TechSoup Europe network for this purpose. A list of these TechSoup Europe partners can be found at: http://www.techsoupeurope.org/where-we-work/. Depending on the country involved this may result in a transfer of personal data to a TechSoup Europe partner which is located in a country outside the EU. Some of these are countries for which the EU Commission has not decided that they ensure an adequate level of protection for personal data. With recipients in those countries we ensure an adequate level of data protection by concluding the EU Commission's standard contractual clauses. We will provide you with a copy of these standard contractual clauses upon request.

    d) We (for applications concerning Germany, Austria or Switzerland) and the respective TechSoup Europe partner (for applications concerning other countries) may obtain the support of SAP SE and/or of a local SAP group company (a list of all SAP group companies can be found at: https://www.sap.com/dam/site/corporate/legal/sap-legal-entities.pdf) in assessing your organisation's application for a grant. Handling your organisation's application may therefore result in a transfer of your data to SAP SE and/or to such other SAP group companies.

    e) The legal basis for processing your data as described above is Article 6 (1) (f) of the European General Data Protection Regulation (GDPR), i.e. a balancing of interests based on our legitimate interest to operate the Meet and Code project.

  3. Processing Personal Data for the Purpose of Direct Mailing

    Furthermore, we will use the personal data that you provide in the context of your application for reporting and planning purposes. We may also use it to keep you updated about similar activities of Haus des Stiftens in the future. For this purpose we may also send corresponding emails to the address you have provided for the application process (provided that these emails are permitted by applicable laws, and you have not objected to them). If we send such emails, we will attempt to track which of them you have opened, and on which links included in these emails you have clicked. Based on these tracking data regarding our emails we will attempt to optimize our communication with you in order to send you only the most relevant information for your specific areas of interest.

    The legal basis for this processing your data is Article 6 (1) (f) GDPR, i.e. a balancing of interests based on our legitimate interest to promote non-profit organisations and the Civil Society.

    You have the right to object to the use of your personal data that is described in this section at any time, e.g. by sending an email request to contact@meet-and-code.org

  4. Processing Personal Data for the Purpose of Website Optimisation

    When you visit our website, we store and process various data in order to analyse and optimise our internet activities. We use web analytics tools as described below. We process personal data in accordance with Article 6 (1) (f) GDPR in order to ensure system security (e.g. prevent misuse) and to diagnose errors. We also collect statistics for marketing activities unless we determine that this would conflict with any overriding interests of the user.

    a) Logfiles

    When visiting and using our website, no specific protocol information (logfiles) that allow conclusions about individual users are created.

    We only collect aggregated information about website use for statistical purposes, for system security reasons (e.g. preventing misuse), and for error diagnostics to optimise our website.

    b) Cookies

    Cookies are small text files which are sent from a web server to the visitor's web browser, saved there and kept ready for subsequent retrieval. Some cookies are required to provide certain functions of the website. Other cookies enable us to carry out a statistical analysis of the use of our website.

    There you can also set which cookies you allow or do not allow.

    c) Google Analytics

    This website uses Google Analytics, a web analysis service provided by Google LLC, 1600 Amphitheatre Parkway Mountain View, CA 94043, USA (Google).

    Google Analytics uses the cookies mentioned above in subsection b). Your browser transmits the information created with the help of these cookies on your use of this website to Google servers in the USA, where they are stored for up to 14 months. Currently there is no decision of the EU Commission that the USA generally provide an adequate level of protection for personal data. Google undertakes, however, to comply with the EU-US Privacy Shield Framework as set forth by the US Department of Commerce regarding the collection, use and retention of personal information from European Union member countries.     d) Google conversion tracking

    This website utilises the online advertising program "Google AdWords and the conversion tracking within the framework of Google AdWords. The conversion-tracking cookie is set in your browser if you click on an online advertisement delivered by Google. These cookies lose their validity after 30 days. They are not used to acquire personal identification data. If you visit a certain page of this website and the cookie has not yet expired, Google and we will be able to tell that you clicked on the advertisement and were forwarded to this page. Each Google AdWords client gets a different cookie. Thus, cookies cannot be tracked across the websites of AdWords clients. The information collected by the conversion cookies are used to provide aggregate conversion statistics to AdWord clients who have opted-in for conversion tracking. Clients are informed about the total number of users who clicked on an advertisement and were forwarded to a conversion tracking tag page. However, Google conversion tracking does not provide any information enabling website operators to identify users personally. If you do not want to participate in the tracking program, you can refuse the required setting of a cookie - for example, via a browser setting that generally disables the automatic setting of cookies. You can also disable cookies for conversion tracking by setting your browser to block cookies from the domain "googleadservices.com".

  5. Links to other websites

    Our website contains links to external websites which may use cookies, and collect and process personal data. We have no control over these and are unable to inform you about them in advance. This data protection declaration applies solely to our website. Sites linked to and from our websites are not covered by it.

  6. Social Media

    Facebook, Instagram and Twitter social plugins are disabled by default on our website. To use the social plugin you have to activate it by clicking on the corresponding button. As long as the social plugin is not activated, no data will be transmitted. After activation, the social plugin connects to the servers of Facebook and Twitter and remains active until you deactivate it again or delete your cookies (see "Cookies" above). Activation establishes a direct connection with the server of the respective provider. The content of the social plugin is transmitted by the provider directly to your browser, which integrates this into the visited website. Therefore, we have no influence on the amount of data collected by the social plugin.

  7. OpenStreetMap

    Our website uses content provided by OpenStreetMap on some subpages to display interactive maps and create driving directions. OpenStreetMap is a map service provided by the OpenStreetMap Foundation (OSMF), St John's Innovation Centre, Cowley Road, Cambridge CB4 0WS, United Kingdom.

    When you visit a page that contains an OpenStreetMap map, your browser establishes a direct connection to OSMF's servers. The map contents are transmitted by OSMF directly to your browser and integrated into the website. Therefore, we have no control over the extent of the data collected by OSMF in this process.

  8. Your rights with regard to the processing of your personal data

    Upon request, we will provide you with information about your personal data processed by us at any time (for a detailed description of the scope of your right to information, see Art. 15 GDPR). Nevertheless, should it occur in individual cases despite our efforts to ensure correct and up-to-date data, that incorrect or incomplete personal data is stored, we will rectify this immediately upon your request (Art. 16 GDPR). Insofar as you wish to have deleted your personal data stored by us, this request will be complied with immediately if deletion does not conflict with statutory documentation or retention obligations or processing rights (Art. 17 GDPR). As an alternative to deletion, you may only request that the processing be restricted if you believe that the data is incorrect or the processing is unlawful or if the data is no longer needed but you need it to assert, exercise or defend legal rights (Art. 18 GDPR). In addition, you have the right at any time to receive the data made available to us in a structured, common and machine-readable format or to request the transfer to another service provider (Art. 20 EU GDPR).

    If you believe that our handling of the data you receive is not consistent with the protection provided by the European General Data Protection Regulation (DSD), you have the right to complain at any time to the regulatory authority of your usual place of residence or employment or our registered office (Art. 77 EU GDPR).
